About the Position:

We are searching for a Project Coordinator/Project Assistant to join our team in the painting industry. The role will involve managing multiple project working with our project managers. This role offers a contract to hire employment opportunity and is ideal for those with a background in construction and excellent communication skills. Ideal candidates must possess experience in the Construction industry.

Compensation: $25 per hour

Key Responsibilities

  •  Utilize construction management and project management skills to ensure the smooth operation on the administration of each project.
  • Communicate with project managers, staff, and customers, maintaining strong relationships and ensuring all parties are updated on project progress.
  • Utilize software tools including MS Office Suite and QuickBooks for administrative tasks and project management.
  • Set up process and administer project-specific tools and materials, such as project set up in Knowify, set budgets, and job information. 
  • Prepare written correspondence for project staff (e.g., memos, emails, presentations, and other project-specific documents).
  • Collaborate with project managers for project status and billings, including preparation of 702/703 Forms
  • Steer the implementation of new Knowify, construction management software.
  • Daily monitoring of time clocks, safety forms and other daily field job requirements. Also monitoring the online safety training progress.
  • Show initiative in moving the process along, working independently to meet project deadlines.
  • Social Media posting for project case studies and photos.
  • Adapt to the flexible work schedule, which may involve early mornings administrative work in the office.

Minimum Qualifications

  • Understanding of budget processes and job costing
  • Excellent communication skills, both written and verbal
  • Experience in the construction industry, specifically commercial painting projects
  • Knowledge of construction accounting and management principles
  • Experience with QuickBooks and MS Excel 
  • Construction experience is critical for this role
  • Ability to work independently and collaboratively within a team
  • Strong organizational and time management skills
  • Ability to manage multiple projects simultaneously
  • Knowledge of Job Tread or Procore would be helpful
  • Problem-solving skills and the ability to adapt to changing circumstances
  • Reliable vehicle or ability to get to the office in Skokie
  • Current Public Notary or ability to become notarized is highly preferred
