About the Position:

The Executive Assistant to the CEO will provide high-level administrative support, ensuring efficient operation of the executive office. This role involves managing the CEO’s schedule, coordinating with internal and external stakeholders, and handling confidential information with discretion. The ideal candidate is proactive, organized, and capable of managing multiple priorities in a fast-paced environment.

Employment Classification: Full-time, 40 hours per week. Exempt.

Salary: $80,000 – $100,000 annually

Job Duties

Calendar and Schedule Management: 

  • Efficiently manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements. 
  • Prioritize and resolve scheduling conflicts as necessary.

Communication Liaison: 

  • Serve as the primary point of contact between the CEO and internal/external stakeholders. 
  • Handle correspondence, draft emails, and facilitate communication on behalf of the CEO.

Meeting Coordination: 

  • Organize and coordinate meetings, including preparing agendas, and compiling necessary materials. 
  • Ensure follow- up on action items.

Travel Arrangements: 

  • Arrange complex travel itineraries, including flights, accommodations, and transportation. 
  • Prepare detailed travel plans and itineraries.

Document Preparation: 

  • Draft, review, and edit reports, presentations, and other documents as required. 
  • Ensure accuracy and adherence to company standards.

Confidentiality Management: 

  • Handle sensitive information with the utmost discretion and maintain confidentiality at all times.

Project Support: 

  • Assist with special projects and initiatives as directed by the CEO, ensuring timely completion and alignment with company objectives.

Qualifications:

  • Minimum of 7 years of experience as an executive assistant, preferably supporting C-level executives.
  • Bachelor’s degree in Business Administration or a related field is preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools.
  • Excellent verbal and written communication skills, with a keen attention to detail.
  • Strong organizational and time-management abilities, with the capacity to manage multiple tasks and priorities effectively.
  • Ability to build and maintain professional relationships with internal and external stakeholders.
  • Demonstrated ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism.
  • Proven ability to handle confidential information with discretion.
